The grouping
Data integrity, confidentiality, security, disclosure, backups, cloud-based software, cybersecurity, data retention, and AI input/output bias awareness.
The last item is the one people misplace. AI input and output bias awareness sits in data and information management, even though the AI tools themselves, including generative AI and machine learning, sit under HR software and technology.
For contrast: ATS, HRIS, LMS and performance management systems are HR software and technology; scheduling, time-keeping, contact updates and benefits enrollment are electronic self-service; internal platforms, social media policy and branding are social media management.
Retention
Data retention is the concept covering how long records are kept in each system and when they are purged. Electronic self-service covers employee transactions, branding is a social media concept, and collaboration software is a system, not a records-lifecycle control.
Backups and cybersecurity
When ransomware locks the HR shared drive and no restore has ever been tested, the gap is that no verified backup exists. Work with IT to establish and verify backups as part of the cybersecurity response. Do not announce a compromise that has not been determined, rebuild files from employee-submitted copies, or move HR files to personal cloud accounts.
Confidentiality and disclosure
Internal circulation is still disclosure. A manager emailing salaries and medical leave dates to another division has disclosed HR data to someone with no need to know, and "only internal" is not authorization. Contain the distribution and reinforce confidentiality and access rules. Deleting one copy leaves the practice unchanged; stripping salary fields from all manager reports disables legitimate use.
Cloud contracts
Cloud-based software is listed in this grouping with security, confidentiality, backups and retention, so those terms belong in the selection decision, before signing, not at first renewal, not on the strength of vendor marketing, and not avoided by limiting the platform to non-sensitive data.
Carry this in: bias awareness is a data concept, and data terms get settled before the signature.
