The four functions
Electronic self-service is scheduling, time-keeping, contact information updates and benefits enrollment.
- Applicant screening, interview scoring and offer generation are applicant tracking activity, which sits under HR software and technology.
- Backups, disclosure controls and data retention are data and information management.
- Branding, internal platforms and posting guidelines are social media management.
The portal where staff update their own addresses and emergency contacts is electronic self-service, not the ATS. The ATS is HR software for applicants, not a term for every employee-facing portal. Contact updates are a transaction, not a retention control, and self-service is not part of social media management.
Why self-service fixes accuracy
When HR staff re-key 900 paper enrollment forms and coverage errors appear, the defect is the transcription step. Move benefits enrollment to electronic self-service so employees enter and confirm their own elections. A second reviewer doubles manual effort; a shorter window limits choice without helping accuracy; email changes the medium but HR still keys the data.
Self-service plus integrity controls
Supervisors worried that employees will change time and scheduling records without oversight are raising a data integrity concern, and integrity is a data and information management item. The answer keeps the capability and protects the record: configure the self-service functions with approval and audit controls.
- Cancelling the rollout abandons a BASK-recognized capability.
- Letting supervisors edit any entry with no record of changes removes traceability and makes integrity worse.
- Limiting self-service to contact updates only discards three of the four functions instead of controlling them.
One policy item to keep straight
A bring-your-own-device policy is not self-service. It belongs to standards and policies for technology use, with offsite network access policy, websites, computers for personal activity, Internet messaging, corporate and personal e-mail, and AI-related policies.
